Roles and Permissions in Workspaces and Teams

We will guide you through the roles and permissions within magicplan's Workspace and Teams feature. This powerful functionality allows you to collaborate seamlessly with your team members on projects, ensuring smooth workflows, and efficient project management.

Understanding Roles in a Workspace or Team

magicplan offers three distinct roles within a Workspace or Team:

Owner: The Owner is the user who initially creates the Workspace or Team. They have full control over the Workspace or Team settings and unrestricted access to all projects and members within the Workspace.

Admin: Members that have been promoted to Admin have significant control over the Workspace. They can manage members, projects, and Workspace settings. Admins within a Team can only access and manage Team projects, members, and settings.

Member: Members have more limited permissions compared to Owners and Admins. They can view and edit projects assigned to them in the app but cannot manage Workspace or Team settings or members. 

Permissions within a Workspace or Team

Here's a breakdown of each role's permissions:

Owner:

    • Projects in the app: Can view Custom Forms, Custom Objects, or Price Lists that have been published only to the Workspace, only the Team, or both.

Workspace Admin:

    • Projects in the app: Can view Custom Forms, Custom Objects, or Price Lists that have been published only to the Workspace, only the Team, or both.

Team Admin:

  • App:
    • Can edit and export projects assigned to them. 
    • Projects in the app: Team Admins will be able to view Custom Forms, Custom Objects, or Price Lists that have been published only to the Workspace, only the Team, or both.

Workspace Member:

  • Cloud:
    • Can view everyone's projects in the Workspace. 
  • App:
    • Can edit and export projects assigned to them. 
    • Projects in the app: Can view and edit Custom Forms, Custom Objects, or Price Lists that have been published only to the Workspace, only the Team, or both.

Team Member:

  • Cloud:
    • Can view everyone's projects in the Workspace and the Team. 
  • App:
    • Can edit and export projects assigned to them. 
    • Projects in the app: Can view and edit Custom Forms, Custom Objects, or Price Lists that have been published only to the Workspace, only the Team, or both.

Best Practices for Workspace and Teams

  1. Clear Communication: Establish transparent communication channels within your Workspace and Teams to ensure projects are saved and edited correctly.
    1. If users are working on the same project, ensure User 1 uploads their project to the magicplan cloud and User 2 downloads that project from the cloud to their app prior to editing. 
  2. Regular Updates: Ensure everyone's app is updated with the latest version of magicplan to ensure projects can be created, edited, and viewed properly. 

ℹ️ Note: You cannot view all Workspace or Team members' projects in the magicplan app. You can only view all Workspace or Team members' projects in the cloud (desktop).
