How to Use magicplan's PDF Editor
Learn how to utilize magicplan’s PDF editing tools to customize your documentation process.
PDFs are essential for sharing reports, estimates, and floor plans from your magicplan projects. Now, magicplan’s PDF markup and editing tools allow you to annotate your PDFs, remove content, and update your PDF text directly in the magicplan app.
Accessing PDFs in magicplan
Every export you create in magicplan, regardless of file type, is automatically added to your project’s files section to help keep your project’s documentation organized. All file thumbnails are labeled with their file type to make accessing the right document quick and easy. To find your PDFs, just look for the label on the file thumbnail image.

Locate and Open Your PDF
- Open the magicplan app and tap to open your project.
- On the project dashboard, scroll down to the “Files” section to view all of your generated files.
- Swipe through your previously exported files to find the PDF you’d like to edit.
- Tap any file to open the document in the app.
💡 Tip: If you don’t see the file you're looking for, try regenerating it from the export menu to reflect recent updates. The PDF reflects the most current data from your project when you regenerate it.
Editing PDF Content in magicplan
Our PDF editing tools allow you an unprecedented amount of control over updating and customizing your PDF documents.
- Once you’ve opened your PDF, tap the annotation or squiggle icon in the upper right corner of the screen.
- Take note of the PDF editing mode indicated at the top of the screen. Beside the “Annotation” heading you will see a dropdown menu that will allow you to switch between Annotation mode and Content Editing Mode. We'll cover Content Editing later in this article.
- Tap the page icon in the upper left corner to view the Document Editor. This mode allows you to see each page of your PDF side by side. We'll learn more about the Document Editor below.
PDF Annotations:
- Once you’ve opened your PDF and tapped the annotation icon, you’ll be able to perform the following actions:
- Text: Tap the “T” icon to add a text box anywhere on your document to clarify or add more information.
- Draw: Tap the highlighter icon to circle important details or highlight key points on your document using the drawing tool. You can update the opacity and line thickness of the drawing tool to function as a highlighter or darken the line to add quick symbols or annotations.
- Signature: Tapping the pen icon allows you to easily add signatures to your PDF documents. Capture client sign-offs or stakeholder approvals quickly and easily, right in your PDF.
- Arrow: Tap the arrow icon to draw attention to key details. You can update the opacity and line thickness of the arrow, and use it to add notes, and reply directly to comments left by team members.
- Ellipse/Rectangle/Line: Tap any of these symbols to add shapes that highlight important information or indicate areas where clarification is needed. As with the arrow tool, you can adjust the appearance of these shapes and add notes and replies to each individual object you add to your PDF.
- Photo: Tap the photo icon to add a photo directly to your PDF. You can choose to take a photo with your mobile device’s camera or add an image from a photo album.
ℹ️ Note: Changes made to your PDF will automatically be saved as a copy, preserving the original PDF. Be sure that you have made all desired changes before saving your copy.
PDF Content Editing
With magicplan’s PDF Content Editor, you can update any of the text included in your document.
- To get started, follow the steps above for accessing your project’s files, and open the PDF you want to edit.
- Tap the squiggle icon to enter annotation mode.
- At the top center of the screen, tap the “Annotation” dropdown menu. A menu will appear at the bottom of your screen. Tap “Content Editor.”
- All of the text in your PDF will now be displayed surrounded by a dotted blue line. Tap any text box to view the Content Editor options:
- Writing Tools: Utilize AI to make changes to longer passages or pieces of text within your PDF.
- Proofread: Allow AI to search the text for errors in spelling or grammar.
- Rewrite: Re-word the passage for a cohesive result.
- Change Tone: Friendly, Professional, Concise.
- Summary: Summarize longer passages into shorter sections.
- Key Points: Identify key pieces of information.
- List: Generate a list from a section of text.
- Table: Generate a table from a section of text.
- Properties: Change the color, opacity, font style and size, text alignment, or style (underlined, strikethrough, etc.) of the text in the box.
- Edit: Update the text directly.
- Cut: Remove the text box entirely, or remove only highlighted text.
- Copy: Copy the text to your clipboard to paste elsewhere in the document.
- Delete: Remove the text box and its contents from the document.
- Writing Tools: Utilize AI to make changes to longer passages or pieces of text within your PDF.
- When you are done making changes, tap outside of the text box to edit other content.
- To correct or undo any unwanted edits, tap the back arrow “↩” in the lower right corner of the screen. Tap the forward arrow “↪” to re-do the edits.
- Using the text box or photo icons at the bottom of the screen, you can also insert new text or images into your PDF if needed.
PDF Document Editor
If needed, you can also edit the layout and number of pages included in your document.
- To edit the layout of your document, you will enter the Content Editor, then tap the pages icon in the upper left corner.
- From the Document Editor, you can:
- Tap any page to go directly to that page OR
- Tap the Selection icon in the upper right corner to edit your layout.
- To update your layout, select the pages you want to edit within your document. Once you’ve selected your pages, you can take the following actions:
- Insert: Add a blank page or access files on your device and insert a document into your PDF
- Replace: Replace the selected page or pages with a document from the files saved on your device.
- Extract: Save, send, print, or otherwise extract just the selected page or pages.
- Copy: Duplicate the selected page or pages within the PDF
- Rotate: Turn the selected page or pages within the document from portrait to landscape orientation.
- Delete: Remove the selected pages from your PDF.
