How to Use Custom Forms in the magicplan App
Learn how to access and complete custom forms directly in the magicplan app to capture checklists, contracts, and site notes as part of your project reports.
magicplan's custom forms feature lets you attach structured, fillable content to your projects — directly from the app on your phone or tablet. Forms are built in the magicplan cloud and can capture a wide range of on-site information, including:
- Inspection and site checklists
- Client contracts or agreements
- Repeat site visit logs
- Custom questionnaires and assessments
Once completed, forms are included as part of your Report PDF, making it easy to share professional, comprehensive documentation with clients and stakeholders.
ℹ️ Note: Forms must be created in the magicplan cloud before they can be used in the app. If you haven't built your form yet, visit cloud.magicplan.app and use the Forms builder to create and publish your template.
Once your form is published to your Workspace, it will be available to access on your device. Forms can be published to:
- A specific project
- All floors
- All rooms
- All walls
How to Access and Complete a Form
There are two ways to access your forms from the magicplan app:
Option 1: Access Project-Level Forms from the Project Dashboard
- Open the magicplan app and open the project you want to work on.
- From the Project Dashboard, find the "Forms" section in the left hand menu options.
- Select the form you want to fill out from the list.
ℹ️ Note: Only forms that are applied to the project level can be accessed from the Project Dashboard.
Option 2: Access Forms from the Details section
- Open the magicplan app on your phone or tablet.
- Tap the project you want to work on from your project list.
- Access the Details section for your project, floor, room, or wall — depending on where your form has been published.
- In the Details section, scroll down until you see "Forms"
- Tap the form you want to complete. It will open in full view, ready to fill out.
💡Tip: If you don't see your form listed, double-check that it has been applied and published to the correct level (project, floor, room, or wall) in the magicplan cloud.
Complete Your Form
Once you have accessed the correct form, you can follow the steps below to fill in and save your responses.
- Tap any field to begin entering information.
- Work through each section of the form, filling in all required fields.
- Use checkboxes, text fields, dropdowns, or photo inputs as prompted — depending on how your form was designed.
- When finished, tap "Save" or "Done" to record your responses.
⚠️ Caution: Make sure to save your form before navigating away from the screen. Unsaved responses may be lost.
Including Forms in Your Report PDF
Completed forms are automatically available to include when you generate a Report PDF from your project. Here's how to generate your report:
- From your Project Dashboard, tap the "Export" option in the left hand menu.
- Tap the settings icon next to the "Report PDF" option.
- Scroll to the "Include Attachments" section and find "Forms," then tap the options to switch between "All" or "None." You will be returned to the settings menu automatically. Tap "Done" to save changes.
- Tap "Report PDF" to create your PDF. Your completed forms will appear as dedicated pages within the report.
💡Tip: You can complete multiple forms across different rooms or floors and include them all in a single report - perfect for comprehensive inspection or multi-area assessments.
